Under the direction and leadership of the Coordinator, Real Estate Transactions, we are seeking a Full-Time, temporary Property Administrator to join our Real Estate department in Calgary, AB.  The Property Administrator is responsible for providing support to the Corporate Real Estate department by generating and preparing reports, conducting Land Titles research, and handling information requests. Additionally, you will be accountable for performing administrative functions such as preparing correspondence, invoicing, data entry, and filing. This position will provide you with exposure to various levels across the organization as well as areas within the Real Estate function.


Data entry and report generation from a software database as well as maintaining accurate and current property portfolio spreadsheets.
Provide general administrative support to the department by reviewing, ingesting, coding and the distribution for approval of vendor invoices, and collaborating with Accounts Payable and Account Receivable to ensure payment deadlines are met.
Interpret, search and pull various records from the Land Titles database.
Support Property Tax by ensuring the accuracy and completion of assessment notices, processing the notices through a tax database and creating invoices.
Oversee department documentation, including appropriate filing and archiving. Prepare correspondence, rental notices and handle general departmental inquiries.
Quarterly sustainability reporting which requires an accurate kept record of utilities and usage for multiple properties.
Engage with third party property managers, administrators and accountants to resolve any discrepancies in relation to real estate documentation or invoicing.


High level of proficiency with Microsoft Word, Excel, PowerPoint, and Outlook
Strong attentional to detail
Proven track record of time management and maintaining organization with multiple responsibilities
Experience with complex data entry and Real Estate or Asset Management software
General understanding of commercial leases and able to interpret various Real Estate contractual documents
Technical IT background or familiarity an asset
Exceptional interpersonal skills while interacting with internal and external personal
Conscientious self-starter who enjoys working in a team environment


The successful candidate should possess a minimum of 1-3 years of experience in the Real Estate Industry with a high level of proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
The successful candidate should have a College diploma or Undergraduate degree
